RFID System Cost: Hardware, Software and Deployment Budget

RFID System Cost: Hardware, Software and Deployment Budget

A total-cost framework for RFID projects—from a single handheld workflow to fixed-reader infrastructure.

Cost categories

Build the estimate from the workflow outward.

  • Tags and encoding
  • Readers, antennas and RF cables
  • Mounts, enclosures, power and networking
  • Middleware or device management
  • Application integration and data work
  • Site survey, installation and acceptance testing
  • Training, support and replacement stock

Fixed versus handheld readers

Handheld deployments may reduce infrastructure cost but require labor and a controlled scanning procedure. Fixed readers automate events but increase installation, tuning and exception-management needs.

Calculate cost per useful event

Do not compare tags only by unit price. Estimate total cost divided by accurate, actionable events or labor hours saved. A cheaper tag with poor reads may produce a more expensive operation.

Pilot before full procurement

A paid pilot is part of risk control. Test representative items and locations, document acceptance thresholds and use the results to finalize quantities and integration effort.

Budget contingency

Allow contingency for mounting changes, additional antennas, network work, label redesign and integration discoveries. These costs often emerge only after real-environment testing.
